The successful candidate will provide comprehensive and pro-active administrative support to the Head of Location, co- ordinating tasks with stakeholders that are both internal and external to the organisation. Duties performed require confidentiality, initiative and tact. Much of the role is self-appointed and requires a high degree of professional independence.
KEY RESPONSIBILITIES:
- Organise efficiently the agenda of the Head of Location by proactive calendar management and meeting scheduling
- Anticipating regular meetings, distribution of relevant papers, and management of minutes where appropriate
- Organise travel for Head of Location and other members of the senior management team
- Organise management and client luncheons / dinners
- Organise internal events
- Preparation and management of presentations and documents, ensuring a high standard of accuracy
- Maintaining the office in the absence of the Head of Location, liaising frequently with nominated senior team members
- Screening phone calls, emails and other forms of communication
- Expense claim preparation and follow-up
- Maintenance of office supplies
- Attending meetings and taking minutes
- Consolidation and updating of the Senior Management Team's annual leave and other absences
QUALIFICATIONS AND EXPERIENCE:
- Previous PA experience at a senior level, preferably in a financial services setting
- Advanced Microsoft Office skillset
- Minimum three years experience in a similar role
- French language (verbal and written)
