Apply for this jobWe are working with a leading professional services organisation to recruit an experienced Executive Assistant / Personal Assistant to provide high-quality support to Directors and senior members of the team. This is a varied role requiring excellent organisation, strong attention to detail and the ability to manage confidential information, competing priorities and a busy workload.
The successful candidate will work closely with senior stakeholders, supporting diary and inbox management, travel arrangements, correspondence and a range of projects and administrative responsibilities.
KEY RESPONSIBILITIES:
- Manage Directors’ inboxes and diaries, ensuring appointments and meetings are accurately coordinated
- Maintain accurate electronic filing and document management
- Follow up on correspondence and communications with colleagues, clients and professional contacts
- Act as a point of contact for communications while Directors and senior team members are travelling, ensuring messages are appropriately acknowledged and relayed
- Organise business travel and relevant visa arrangements for senior management
- Provide copy and audio typing support where required
- Assist with general administration and filing
- Provide cover for other PAs/EAs during periods of holiday or absence
- Provide reception support for client meetings when required
- Prepare and submit expense claims and returns on behalf of Directors
- Support Directors in their Chairperson responsibilities for relevant committees
- Assist with the coordination and oversight of projects and initiatives
- Support the Board and relevant committees with agreed actions and deadlines
- Complete any other reasonable duties and tasks as required
QUALIFICATIONS AND EXPERIENCE:
- Minimum of 3 years’ experience working in a PA, EA or similar senior administrative role
- Strong knowledge and experience using the full Microsoft Office suite
- Familiarity with document management and business administration systems would be advantageous
- Experience using Quantios / Dynamics 365 and eDocs would be preferred, although training will be provided
