You will work as part of the Investor Relations Team providing timely response to investor queries, maintaining the integrity of data, preparing and uploading documents and ensuring accurate record keeping within our core systems.


The role will have a particular focus on sending out correspondence to investors, including becoming familiar with investor portal uploads and the process of sending out notices and reporting to investors.


The role will also involve liaising directly with the Client, Investors and their representatives, in addition to working directly with the Fund Administration team and other Operational teams within Securities Services as required.

KEY RESPONSIBILITIES:
• To prepare and carry out the uploads of investor reporting, communication and notices as and when required, on to a relevant portal platform within agreed timelines and in line with procedures; 

• To become familiar with investor portal websites and the process of uploading information to investors accurately to ensure the correct investor contacts receive the correct notices and reporting;
• To become familiar with investor upload software and the mechanics of the investor portals and to gain a knowledge of the various Investor requirements and different Fund structures in terms of the investor reporting process;
• To assist in monitoring the dedicated investor query mailboxes to ensure that all enquiries and change requests are promptly recorded and handled via Outlook and our in-house query management system, prioritise and efficiently resolve assigned      queries or seek guidance from senior admin when required. 

• To send out investor communication via email or other communications methods in a timely, professional and accurate manner. 
From time to time you may be required to provide cover for the Static Data function, which is also part of the Investor Relations team, and these tasks will include:
• To assist in monitoring the dedicated static data mailboxes to ensure that all enquiries and change requests are promptly handled via Outlook and our in-house query management system;
• To assist in updating static data of investors within our core systems in accordance with the agreed SLA;
• To complete the relevant static data check-lists and update the static data update log within agreed timelines. 


QUALIFICATIONS AND EXPERIENCE:

• Prior experience of PE and fund administration;
• Sound problem solving skills; 

• Confident working with different systems (Intralinks, Intralinks Designer, Outlook, Hobart, eFront 
FIA);
• Good time management skills;
• Good prioritisation skills to deal with a high volume of time sensitive tasks quickly and 
appropriately
• Work collaboratively and effectively with other teams within BP2S;
• Excellent attention to detail and organisational skills;
